Making the book

From manuscript to printed copy and ebook: the edits, the proofs, the files a printer and an ebook store need, and the numbers that identify a book.

Developmental edit

Also: structural edit, substantive edit

The first, big-picture edit of the manuscript (the author’s text, before it is designed). It asks what the book contains and in what order: whether the chapters build on each other, what is missing and what should go.

A Short History of the Bicycle · contents
1817The hobby horse12 pp
1888Air in the tyres14 pp
1870sThe penny-farthing16 pp
AsideFifty years of saddles18 pp

Not one sentence changed. The editor put the chapters in date order, cut a detour and asked for an opening chapter.

NotCopy-edit: which works line by line on the words. A developmental edit moves and cuts whole sections and rarely touches a sentence.

SayDo a developmental edit of A Short History of the Bicycle: put the chapters in date order and tell me what’s missing.

Copy-edit

Also: copy-editing, copyedit

A line-by-line edit for text that is correct, clear and consistent: grammar, spelling, facts that can be checked, and the house style. It is done on the manuscript before design, usually as tracked changes.

winter-chapter-3.docx

By the time the ferry reached the island, it was allmostalmost dark, and Maren could’ntcouldn’t see the harbour lights, untilluntil they were nearly on top of them.

Every change is to the words: spellings, an apostrophe, commas. Tracked, so the author can accept or argue each one.

NotProofread: done later, on the designed pages, to catch what slipped through. A proofreader corrects errors and doesn’t rewrite.

SayCopy-edit chapter 3 of A Winter of Small Hours to our house style, track every change, and query anything that would alter the author’s voice.

House style and style sheet

Also: style guide

House style is a publisher’s rules for the choices the language leaves open: spellings, capitals, numbers, hyphens. A style sheet is the list a copy-editor keeps for one book, recording each choice so every chapter and every editor agree.

Ch. 1The sky had been gray all morning.
Ch. 2It was OK, she told herself.
Ch. 5The ferry left at 6pm sharp.
Ch. 9She walked toward the harbour.
Style sheet
  • grey·
  • okay·
  • times in words·
  • towards·
  • harbourmaster, one word

Each choice is correct somewhere. Mixed in one novel, they look careless.

NotParagraph styles: named formatting in layout software, such as “Heading 2”. House style is about the words, not how they look.

SayFollow the style sheet for A Winter of Small Hours: “grey”, “okay”, “towards”, and times of day in words.

Proofs

Also: page proofs, first proofs, revised proofs

The designed pages, sent out for checking before printing. First proofs are the first full layout; revised proofs come back with the corrections made, round after round until the pages are passed for press.

  3. 3No indent after a heading

The first full layout of a chapter opener, with the corrections marked as comments.

NotPrinted proof: a copy on paper from the printer, also called a hard or contract proof, made to check colour. A PDF proof checks words and layout, not colour.

SaySend first proofs of A Winter of Small Hours as a PDF; Ines will mark corrections as comments, and we expect revised proofs in a week.

Proofread

Also: proofreading, proof correction marks

Reading the proofs for errors before printing: typos, wrong page references, bad breaks, missed corrections. Corrections are written in standard proof correction marks, BS 5261 in the UK and the Chicago marks in the US, or as PDF comments.

Maren watched the Ardent pull away from

the door: ‘We dont have all night.’
’
She didn’t answer him.

Every mark has two halves: a sign in the line saying where, and an instruction in the margin saying what.

NotCopy-edit: done on the manuscript, where rewording is cheap. On proofs every change takes time and can move text, so a proofreader fixes only what is wrong.

SayProofread the revised proofs of A Winter of Small Hours: check every correction from first proofs was made, and that nothing near it went wrong.

Reflow

Also: knock-on

Text moving onto new lines and pages because something earlier changed. On proofs, one added sentence can push everything after it down, which is why changes the author makes at this stage, author’s corrections, are kept to the same length.

The safety bicycle

In the 1870s the fastest machine on the road was the penny-farthing. Its rider sat high above a front wheel up to one and a half metres across. The safety bicycle of the 1880s changed all that. Its two wheels were the same size and a chain drove the back one, so the rider sat low, with both feet near the ground. It looked slower but was far easier to ride, and soon people who would never have dared a penny-farthing were cycling to work.

The chain still drives most bicycles today.

As proofed, the text and its box fill pages 31 and 32 exactly.

NotReflowable ebook: an ebook that re-wraps its text for each screen, on purpose. On a printed page, reflow is a side effect.

SayThe new sentence on page 31 of A Short History of the Bicycle reflows two pages: cut one of the same length nearby, so the box stays on page 32.

Preflight

An automatic check of a print file before it goes to press: fonts included, pictures sharp enough, colours as the printer asked, bleed in place. Layout software and printers both run one, and it finds what the eye can’t.

The page looks finished. Nothing on screen says it will print badly.

NotProofreading: a person checking the words and the layout. Preflight checks how the file is made.

SayPreflight the Bread on Sundays PDF against the printer’s settings and fix every error before sending it: no RGB photos, no missing fonts.

Tagged PDF

Also: accessible PDF, PDF/UA

A PDF with hidden labels, tags, that tell a screen reader what each part is (heading, paragraph, picture) and the order to read them in, with a text description for each picture. The standard for accessible PDFs is PDF/UA.

  5. 5“image”

Without tags, a screen reader guesses: the box at the foot first, the columns out of order, the photo read as “image”.

NotPrint-ready PDF: made for the press. A tagged PDF is made for readers using assistive technology. One file can be both, but each has to be asked for.

SayMake the digital Lowtide a tagged PDF to PDF/UA: alt text for every photo, and the tide-times boxes read after the article.

Imposition

Arranging pages on the large press sheet so that, printed on both sides, folded and cut, they come out in order. The printer does it; each folded sheet of pages is a section, or signature.

NotReader spreads: pages paired as the reader sees them, 2 beside 3. Imposed pages are paired as the press needs them, 8 beside 1.

SaySend Otto Finds the Sea as single pages, not spreads, and leave the imposition to the printer.

Reflowable and fixed-layout EPUB

Also: EPUB 3, fixed layout, FXL

EPUB is the standard ebook file. A reflowable EPUB re-wraps its text to fit any screen and lets the reader change the size; a fixed-layout EPUB keeps every page as designed, like the printed book.

Reflowable: the text re-wraps to each screen at a size the reader can choose, and the boxes stack in one column.

SayMake A Winter of Small Hours a reflowable EPUB, and Otto Finds the Sea fixed layout, so each picture stays beside its words.

ISBN

Also: International Standard Book Number

The 13-digit number that identifies one edition of a book in one format. The paperback, the hardback, the EPUB and the PDF each need their own; a reprint with no real changes keeps the one it has.

Edition and impression

Also: reprint, printing

An edition is one version of the text; a new edition has real changes and a new ISBN. An impression is one printing of an edition, and a reprint is a new impression, with small corrections at most.
